Airtable and HubSpot Alerts on Telegram with Make

Airtable and HubSpot Alerts on Telegram with Make

CRMs are where money hides in status fields. A deal sitting in “Proposal sent” for 14 days, a new Airtable row from the website, a HubSpot lifecycle jump to Customer — none of that should wait for someone to open the board.

People look for Airtable Slack notification Make, HubSpot Telegram alert, and Integromat HubSpot deal. Native Slack modules work until the sales lead wants WhatsApp and the CEO wants a history that is not a 400-message channel.

Pipe Make into AlertHub. Watch the record in Make; page humans through AlertHub.

Pattern: Watch → Filter → AlertHub

  1. Watch new or updated records (Airtable, HubSpot, Pipedrive, Close…).
  2. Filter on the field that means “a human must act” (stage, amount, owner empty, SLA breached).
  3. AlertHub with a title a tired brain can parse on a phone lock screen.

Install via the Make invite. Connection uses your project secret key. Levels: Info = log only; Warning/Critical = destinations.

Airtable: new qualified lead

Trigger: Airtable — Watch Records on the Leads table (or Watch Responses if you use Interfaces forms).

Filter examples:

  • Status = Qualified
  • Score ≥ 70
  • Source = Paid ads AND Amount is not empty

AlertHub mapping:

  • Title: Airtable lead: {{Name}}
  • Description: {{Email}} · {{Company}} · Score {{Score}} · {{Status}}
  • Level: Warning
  • Source: Airtable

How teams use it: marketing owns the base; sales lives in Telegram. Nobody needs Airtable seats for the ping. Account managers can still open the AlertHub dashboard to search last week’s qualified leads.

Stale records (the underrated one)

Add a second scenario: Search records where Status is Waiting and Last modified is older than 3 days (Make schedule + Airtable formula, or a “Last touched” field). Send Warning Airtable SLA: {{Name}} untouched. This is how agencies stop ghosting inbound.

HubSpot: deal stage and closed-won

Trigger: HubSpot — Watch Deals / updated deals (exact module names vary).

Filter:

  • Stage becomes Contract sent or Closed won
  • Amount ≥ your “wake the founder” threshold

AlertHub:

  • Title: HubSpot {{Deal name}} → {{Deal stage}}
  • Description: {{Amount}} {{Currency}} · Owner {{Owner}} · {{Pipeline}}
  • Level: Warning for stage moves; Critical for Closed won above threshold or Closed lost on a named account
  • Source: HubSpot

Map Alert level dynamically (Make’s Map toggle) from a router: lost + amount > 5k → Critical.

HubSpot forms and tickets

  • New ticket with priority High → Critical (support).
  • New form submission with lifecycle = marketing qualified → Warning (same as Typeform via Zapier, but in Make if HubSpot is the source of truth).

Pipedrive, Close, Notion “CRM”

The module changes; AlertHub does not. Any “watch record + status field” CRM fits. Put the record URL in the description so the alert is one tap back into the CRM.

Agencies: one Make org, many AlertHub projects

  • Connection per client project (different secret keys).
  • Clone the scenario, switch the AlertHub connection, change Source to the client name.
  • Invite the client as an AlertHub member if they should see alerts but not your Make org.

WordPress sites for those clients can use the plugin into the same project (orders + CRM in one feed).

What not to alert on

If you Watch every HubSpot property change, you will burn Make operations and AlertHub quota. Always Filter. Examples to skip: email open, raw page views, every note added.

Keep Info for a nightly digest-style log if you insist on capturing more — or don’t send those to AlertHub at all.

FAQ

Airtable automations vs Make?
Airtable’s native automations can email or Slack. They cannot give you Telegram + WhatsApp + dashboard + WordPress in one place. Make + AlertHub is for when the CRM is one of many sources.

Will this double-notify with HubSpot’s own Slack app?
Turn off HubSpot’s Slack integration for the same events, or you will get twins. Pick one bus: AlertHub.

Zapier has HubSpot too.
Yes. If you are already in Zapier, use Zapier + AlertHub. Make wins on complex filters, aggregators, and cost at volume. See Zapier vs Make.

Next steps

Build the Airtable “Qualified” scenario first — it is the shortest path to a useful ping. Follow the Make setup guide and connect Telegram.
